Hygiene Coordinator

Established patient-centered general practice seeks a confident, trained, hygiene coordinator. Must have great people skills, be a team player, and be computer literate. Compensation based on experience and may include a bonus if qualified. Five years experience preferred, two years experience required.

The hygiene coordinator is responsible for seeing that the hygiene schedule runs smoothly and that each hygienist reaches their goals. Timely follow-up will keep patients active in the practice, promoting better dental health in addition to keeping the practice productive.

  • Be responsible for the recare system.
  • Highlight the recare codes and x-rays as the record is posted.
  • Enter patient into the recare system.
  • File recare card and follow-up card in the appropriate month, if doing manual recare system.
  • Verify appointment cards with the appointment book.
  • Stamp and mail recare cards two weeks in advance.
  • Highlight patients on recare listing and refile follow-up cards in the appropriate month as they keep their appointments.
  • Make calls to patients whose follow-up cards are still in the recare file for that month.
  • Confirm hygiene appointment 2-3 days in advance (left messages are not considered confirmed).
  • Schedule all hygiene appointments, keeping a 'quick-call' list for short notice fill-ins.
  • Arrange financial consultations with financial coordinator for any recommended periodontal therapy, using 'seamless' hand-off technique.
  • Be responsible for keeping the hygienists scheduled to their goal. Make adjustments as necessary during the day to assure that goals are reached. If scheduling multiple hygienists, be sure to consider Dr.'s availability to provide hygiene checks.
  • Record periodontal readings for the hygienist.
  • Take FMX / BWX if needed.
  • Pull all hygiene charts for the next day and review:
  • Record chart notations for important items, i.e., pre-medication, medical alert, special precautions.
  • Verify that requested x-rays have been received.
  • Verify insurance status, if appropriate.
  • Evaluate status of current treatment plan: in progress, finished, not started?
  • Update exam needed?
  • Determine what x-rays are needed this visit.
  • Date stamp charts.
  • Participate in the morning huddle.
  • File all charts as they are completed.
  • Communicate with front desk re: hygiene and Dr. patient flow.
  • See that all necessary forms for the next workday are completed before leaving the office.
  • Keep the Dr. and Office Manager informed and current on all aspects of the office, patient status, recommendations, etc.
  • Be responsible for the appearance of the reception area.
  • Assist the financial coordinator as time permits.
  • Assist the clinical assistants if help is needed to make schedule flow smoothly.
  • Assist the appointment coordinator as time permits.
